How to Build an AI Agent for Your Travel Agency in 6 Steps

How to Build an AI Agent for Your Travel Agency in 6 Steps

Building an AI agent for your travel agency does not require a developer or a six-month project. It requires one well-chosen workflow, an AI assistant your team already likes, a secure connection to your agency data, and written rules about what the agent may do. Here is that method in six steps.

In a February 2026 survey of senior travel executives, Phocuswright found that 61% of travel businesses surveyed are experimenting with or scaling agentic AI, yet only 6% are actively scaling. The gap between testing and daily use is wide, and a small agency with a clear method can close it fast.

New to the topic? Start with our guide to AI for travel agencies, then come back for the method.

In short

  • An AI agent is an assistant connected to your tools and data, able to run a task in several steps.
  • Start with one repetitive workflow whose output a human can check in minutes.
  • Connect through MCP, ideally with your software vendor's official connector, read-only at first.
  • Measure time saved and correction rate before adding a second workflow.

‍

What is an AI agent for a travel agency?

Three terms often get mixed up:

  • A chatbot follows a script, like the website widget that answers "Do you organize trips to Japan?". It cannot open your files.
  • An AI assistant such as Claude, ChatGPT or Le Chat writes, summarizes and analyzes, but only knows what you paste into the conversation.
  • An AI agent uses tools and reaches your data to complete a multi-step task: find the file, read the services, compare them with the rooming list, flag the gaps, propose a fix.

For an agency, building an agent rarely means writing code. It means giving an assistant secure access to your booking data, plus precise instructions and firm limits. For the concept itself, read our explainer on AI agents for travel agencies.

The connection layer is the Model Context Protocol (MCP), an open standard announced by Anthropic in November 2024. The official MCP documentation compares it to "a USB-C port for AI applications": one plug, many tools. Our article What is MCP for travel agencies explains it in plain words.

‍

Step 1: choose one workflow worth automating

AI projects usually stall on scope. "Use AI in operations" is not a project. "Check every file before the quote goes out" is. Pick one weekly task that follows the same logic and produces an output a person can verify quickly:

  • Check a file before sending the quote. On a 12-day self-drive in Iceland, list nights without accommodation, travelers without email or phone, and lines below your minimum margin.
  • Import a supplier rate sheet. A hotel sends a spreadsheet with 12 seasons: map the columns, flag duplicates and price differences.
  • Answer a recurring question. "Which invoices are overdue?", asked in plain language instead of building a report.

Write the workflow in one sentence: trigger, input, expected output. It becomes the backbone of your instructions in step 5. DMCs will find more candidate workflows in our guide to AI for DMCs.

‍

Steps 2 to 4: choose the assistant, connect your data, set guardrails

Step 2: choose the AI assistant your team will use

Your agent lives inside a general assistant: Claude, ChatGPT, Le Chat by Mistral or another tool that supports MCP connectors. Our guide to AI tools for travel agencies sorts the options by task. Choose the one your team will actually open every day and stick to it during the pilot. If you pick Claude, our 12 Claude use cases and prompts for travel agencies give you a head start.

Step 3: connect it to your data through MCP

Pasting client names, passport details or margins into a chat window raises privacy issues, and the data is stale the minute you paste it. The safer route is an MCP connection, ideally an official connector from your software vendor. Skift reports that Booking.com, Expedia, Turkish Airlines, Amadeus and Sabre are adopting MCP.

One example: the Ezus connector for Claude is an official MCP server built on the Ezus public API. It also works with ChatGPT, Le Chat, Grok and other MCP clients, and data stays in Ezus, with no intermediate copy. The Ezus page for Claude shows what teams do with it.

Step 4: set guardrails before the first real task

  • Read-only first. During the pilot, the agent analyzes and changes nothing.
  • Write access only on request, once read-only use is reliable.
  • Confirmation before any change. The agent shows its plan, a person approves.
  • No delete. An AI never removes data.
  • Per-user rights. Each person connects with their own account.
  • A human always validates prices, dates, margins and anything sent to a client.

The best guardrails are built into the software. The Ezus connector is read-only by default, Claude shows planned changes before saving, there is no delete tool, and each user sees only what their Ezus rights allow.

‍

Steps 5 and 6: test on real files, then measure

Step 5: test on real files with precise instructions

Test on five recent files, including a messy one: a 20-pax incentive group in Marrakech with three late room changes beats a clean city break. Our guide to AI for MICE agencies covers rooming list checks. Write instructions like a brief for a new hire. "Check this file" is vague. "List every night without accommodation and every traveler without email or phone, as a table" can be checked line by line.

Start small. When the Ezus connector imports a rate sheet, it tests about twenty rows first: apply that logic everywhere. Save the prompts that work in a shared team document.

Step 6: measure time and correction rate, then extend

Compare time per task by hand and with the agent, and track how often someone has to fix the output. A file check that runs in two minutes but misses an airport transfer costs more than it saves. When corrections stay rare for a few weeks, extend to a second workflow, such as the weekly overdue invoices review.

‍

Mistakes to avoid when building an AI agent for your travel agency

  • Starting with client-facing automation. An agent that emails quotes is the riskiest place to begin.
  • Pasting client data into public chatbots. Passports and medical notes belong in a governed connection.
  • No owner for review. Without someone owning prompts and outputs, the pilot fades out.
  • Measuring only speed. Track errors caught and missed, not just minutes saved.

‍

Start with one workflow on your real agency data

The agencies that get value from AI agents pick one checkable workflow, connect the assistant to reliable data, keep a person on prices and client communication, and measure before they scale. Choose your first workflow this week.

Ezus gives more than 600 agencies in over 70 countries the structured data an agent needs: supplier management with rates and seasons, financial management with invoices and projected versus actual margin, and an itinerary builder for multi-country programs. On the Premium plan, the official Ezus MCP connector opens that data to Claude, ChatGPT, Le Chat and other assistants.

Frequently Asked Questions

What is an AI agent for a travel agency?

An AI assistant connected to your tools and data that completes multi-step tasks, such as checking a file against the rooming list. Unlike a chatbot, it works on your real data, within limits you set.

Do I need a developer to build an AI agent?

Not for most agency use cases. If your software vendor offers an official MCP connector, you connect it to Claude or ChatGPT and write clear instructions.

Is it safe to give an AI agent access to agency data?

Yes, if access is governed: read-only by default, per-user rights, confirmation before any change, no delete. Avoid pasting client data into public chatbots.

What is the best first task for an AI agent in a travel agency?

A repetitive internal task with a checkable output: reviewing a file before the quote, importing a supplier rate sheet, or listing overdue invoices. Keep client-facing tasks for later.

How does Ezus support AI agents?

Ezus offers an official MCP connector built on its public API, reserved for the Premium plan. It works with Claude, ChatGPT, Le Chat by Mistral, Grok and other MCP clients, is read-only by default, and has no delete tool. Write access is enabled on request.

Can an AI agent send quotes to clients on its own?

We recommend against it. A person should validate prices, dates, margins and anything sent to a client, especially as prices an AI suggests for a trip designed from scratch do not come from your data.
